Photography and Filming Consent

Event photography and filming

When taking photographs/filming at events, we display notices at the venue to inform participants of this. These notices advise event attendees in advance that photography/ filming will be taking place, and how they can notify us if they do not wish to be photographed/filmed.

This process is used at events with multiple individuals, where it would be impractical and disproportionate to obtain signed consent forms for all individuals.

Individual consent forms

 With the exception of events as detailed above, we obtain signed consent forms for individuals for photography/filming. Below is a copy of the full privacy notice.

Privacy Notice

 This Notice explains how Leeds Beckett University (the university) will use your photograph(s)/film(s) for marketing and promotional activities and the range of marketing channels the university may use. This includes, but is not limited to print and digital media formats including:

  • Magazines and publications to promote the university and our Academic Schools, student life and the student experience 
  • University websites and associated microsites
  • Direct mail and e-marketing
  • Posters
  • Banners
  • Advertising and out of home
  • Leeds Big Screen
  • Plasma screens and TVs across the university
  • PC desktops
  • Film
  • Social media – across all platforms such as Facebook, Twitter, Instagram, LinkedIn, Snap Chat and Vero

Please note the university offers a number of specialist services, such as: Student Wellbeing and Mental Health, Financial and Disability advice. We may use your photograph(s)/film(s) to support the promotion of these Services.

Storage

 The photograph(s)/film(s) will be stored securely on the university network and access is controlled and will be limited. All staff receive training on data protection and how to handle data securely.

Duration

The photograph(s)/film(s) will be held for a duration of three years. If we wish to continue using the photographs after this time, we will contact you to obtain consent.

We will not sell or share the photograph(s)/film(s) to third parties for their commercial purposes.

Sharing your data involving other countries

Sometimes to achieve the purposes for which we are processing your photograph(s)/film we may need to share these with other organisations [this may include our franchise partners or agents] based within the European Union, or if outside the European Union, based in countries that have comparable levels of protection.

When this is required, we will securely transfer the photograph(s)/film(s) to third parties acting on behalf of or engaged by the university for marketing and promotional purposes only. Please note that all images, photograph(s) and film(s) used on our website are accessible from outside the European Economic Area.

Legal basis for processing

 The organisation responsible for looking after your personal data (the “Data Controller”) is Leeds Beckett University. The university will collect the following categories personal data: personal details, email, mobile, staff/student ID number, education and course details, societies and clubs you joined, job title, career highlights, visual images, video, obtained from the photography/filming.

We will process your personal data in accordance with the General Data Protection Regulations (“GDPR”) or any successor legislation to the GDPR or the DPA.

The legal basis under which processing of personal data may take place is your consent.

Your rights to the data

As a person whose personal data we are processing, you have certain rights in respect of that personal data; you have the right:

  • To withdraw consent
  • To access your personal data that we process
  • To rectify inaccuracies in personal data that we hold about you if it is inaccurate or incomplete
  • To request the deletion or removal of your personal data where there is no compelling reason for its continued processing
  • To restrict the processing of your personal data in certain ways
  • To obtain your personal data for reuse
  • To object certain processing of your personal data

I agree and understand that by signing this form that I give my express written consent to Leeds Beckett University (and any individuals, entities or others acting under its authority or on its behalf) to store, edit, publish or use my personal data which includes my name, course, job title, photograph and film both internally and externally for the purposes of promoting and marketing the Leeds Beckett University throughout the world using the marketing channels as detailed and set out in this notice.

I waive the opportunity and right to inspect or approve the photograph(s)/film(s) of me for any use to which it may be put by the university.

I acknowledge that the photograph/film of me and any rights in it shall remain the exclusive property of the university regardless of my own relationship to the university. I confirm I give up my right to compensation in connection with the use of the photograph/film of me held by the university or any derivative works.

I release the university, its governors, officers, members, trustees, directors, agents, and employees, and those acting under its authority, from all debts, claims and liabilities of any kind arising out of or in connection with the use of the photograph/film in accordance with this consent. I agree that this consent shall be binding upon my heirs, successors, assigns and future legal representatives

If I am less than 18 years of age, I understand that my parent or legal guardian must sign this form.
