Over the course of the last decade, visual content requirements have changed, in large part due to the rise of online communication and digital channels.

As an organisation, we need to adopt a ‘digital first’ approach to our activity and shift organisational culture away from favouring traditional marketing channels to prioritising digital ones, allowing us to increase engagement with our audiences. Whilst traditional channels still have their place, the world is changing, and our working practices need to adapt.

In response to the external environment and changing patterns of content consumption, we have changed our approach to the commissioning of visual content. We have formed a Creative team that brings together publications, videography, graphic and digital design.

Print still requires high quality, well composed photography, graphic content and illustrations, the online environment can support video and audio content as well as being more flexible in terms of its technical requirements. In the online environment: content may need to change more frequently, or communicate a different perspective or tone, meaning user-generated content is acceptable, as well as content that is captured and published swiftly as its value is in its currency.

Previously, we have had a photographer on the team that could respond to any request for photographs to be taken. This has been replaced with a tiered approach:

  1. Annual photoshoots

    The Creative team will commission two institutional photographic shoots per year in order to develop a gallery of stock photographs that express the core activities of the university. These will be of a consistently high standard and images will be used for a three year period.

  2. Planned photography

    Where there are institutionally important events planned, the Creative team will book a professional photographer to capture images that is felt will be useful to the institution and / or specific school.

    Not every event or request will be fulfilled and will be dependent on the longevity of the image being captured and its planned use, this must be made clear prior to any booking being made.

  3. User generated photography

    >There will be occasions when the most efficient and effective means to capture an image is if a student or member of staff captures the moment. This type of content can be ideal for images that will be available for a short period and relate to a specific moment, or could provide a very authentic representation of an individual point of view or experience.

  4. Stock photography

    On occasion, stock imagery may be the most efficient and effective creative solution. The Creative team will be able to advise is this is a suitable option, provide costs and licencing requirements associated with the use of these images.

Increasingly, the university is using video in its communications. We have a small in-house videography resource – not only will we continue to produce high quality content, we will also capture more informal footage. This type of content can be ideal for video that will be available for a short period and relate to a specific moment, or could provide a very authentic representation of an individual point of view or experience. We will also welcome user generated video content where it meets certain quality thresholds.

Optimum content length changes, depending on the channel being used. Below is a guide to the ideal length for a number of different channels:

  • Snap chat: 10 seconds
  • Twitter: 10 seconds or 30 seconds
  • Adverts: 10 seconds or 30 seconds
  • Instagram: 30 seconds
  • Facebook: 1 minute
  • YouTube: 1 to 2 minutes
  • Website: 1 to 2 minutes
  • LinkedIn: 1 to 2 minutes

Given that the university has had access to an onsite photographer and a large team of videographers for many years, the most significant change you will notice is the change to our operating practices.

Firstly, the most significant change is understanding the business need for the request before commissioning any content. What is the business benefit? Has consideration been given to how and where it will be used? What is its purpose? What will it illustrate? Longevity of the content?

Secondly, you will need to think and book ahead. Not having photography resource on site and limited videography resource will require colleagues to think ahead and plan for those occasions when photography might be required.

Thirdly, not every request will be fulfilled and will be dependent on the longevity and institutional value of the visual content being captured and its planned use.

As part of the commissioning process, we need to ensure full compliance with GDPR. Consent forms are required for both photography and video. Useful information on GDPR and consent forms can be accessed on the Photography and Video consent page

The Creative team have a limited budget to cover the biannual photo shoot and the incidental shoots over the course of the year. Any photography or video costs outside of this will need to be covered by the school / service.

Typically, you would expect to pay £105 per hour for a photographer. We have a contract with Icon who can deliver this service. We also have a number of contracts with video production companies. The price will depend on a number of different factors and the type of videography or animation required.

Events photography and filming

When taking photographs at events, we display notices at the venue to inform participants of this. These notices ask participants to make themselves known to the photographer(s) so that we may exclude them. Where possible we also advise event attendees in advance that photography will be taking place, and how they can notify us if they do not wish to be photographed.

This process is used at events with multiple individuals, where it would be impractical and disproportionate to obtain signed consent forms for all individuals.

With the exception of events as detailed above, we obtain signed consent forms for individuals participating in photography or video activity. Please share link to the Media Consent form with these individuals, ensure they put your name as contact so the form can be shared with you.

NOTICE

Leeds Beckett University (the university) produces a range of published materials and online information. The university often takes photographs, video and film images, including accompanying sound recordings) of subjects (collectively referred to below as “media”) in order to enhance and illustrate its marketing materials and make them more motivating and inspiring to its audiences or as part of a contract with students, staff and other individuals in order to be able to provide access to services. This media comprises personal data and by this form the university is seeking your consent for its use for the purposes set out below.

For the purposes of the Data Protection Legislation (General Data Protection Regulation 2016 (GDPR) and the Data Protection Act 2018 (DPA) Leeds Beckett University is the organisation responsible for looking after your personal data (the “Data Controller”). We will process your personal data in accordance with GDPR and DPA and this notice and the university’s privacy notices explain how Leeds Beckett University (the university) will use media for marketing and promotional activities and the range of marketing channels the university may use. This includes, but is not limited to print and digital formats including:

  • Magazines and publications to promote the university and our academic schools, student life and the student experience
  • University websites and associated microsites
  • Direct mail and e-marketing
  • Posters and interactive posters
  • Banners
  • Television and billboard advertising
  • Leeds Big Screen
  • Plasma screens and television displays across the university
  • Personal computer desktops backgrounds and screensavers
  • Social media platforms including Facebook, Twitter, Instagram, LinkedIn, Snap Chat, Vero and YouTube

STORAGE

Media will be stored securely on the university network and access is controlled and limited. All university staff receive training on data protection and how to handle data securely.

RETENTION

Media will be held for a duration of four years. If we wish to continue using the photographs after this time, we will only do so with further consent from you.

SHARING YOUR DATA

Sometimes to achieve the purposes for which we are processing personal data we may need to share these with other organisations based within the European Economic Area, or if outside the European Economic Area, based in countries that have comparable levels of protection.

When this is required, we will securely transfer the media to third parties acting on behalf of or engaged by the university for marketing and promotional purposes only. Please note that all media used on our website are accessible from outside the European Economic Area.

LEGAL BASIS FOR PROCESSING

The legal basis under which processing of personal data may take place is your consent in accordance with GDPR Article 6(1)(a).

You also have the right to complain to the Information Commissioner’s Office whom is the UK’s Data Protection Authority.

  • To access your personal data that we process
  • To rectify inaccuracies in personal data that we hold about you if it is inaccurate or incomplete
  • To request the deletion or removal of your personal data where there is no compelling reason for its continued processing
  • To object to certain processing of your personal data
  • To restrict the processing of your personal data in certain ways
